What we collect
Depending on how you contact us, we may collect:
- your name, telephone number, email address and the first part of your postcode;
- whether the enquiry is for you or someone else;
- the general type of support, preferred contact method and preferred visit times;
- the content of correspondence and notes needed to respond to the enquiry;
- basic technical and security information processed in website hosting logs, such as an IP address, browser type and request time.
When you submit the enquiry form, the information entered is sent securely through Formspree, our form-processing provider, to GT Family Care and is also available in a limited submission history.
Please do not send detailed medical information
For a first enquiry, we ask only for a brief description of the support wanted. Please do not include diagnoses, medication details or other detailed health information. If information about health or wellbeing is genuinely needed before a service can be arranged, we will explain what is needed, why, and the additional legal condition that allows it to be used.
Why we use information
| Purpose | Usual UK GDPR basis |
|---|---|
| Responding to an enquiry and considering whether the service may be suitable | Taking steps at your request before a possible contract |
| Keeping proportionate correspondence and administering the service | Legitimate interests in running a safe, clear and accountable local service |
| Meeting legal, tax, safeguarding or regulatory duties that apply | Legal obligation |
| Acting where someone's life or immediate safety is at serious risk | Vital interests, where applicable |
If someone enquires for another person
A relative, friend or professional may make an initial enquiry. When they supply basic information about another person, we normally rely on our legitimate interests in understanding and responding to the enquiry, while limiting the information used and respecting the person's rights. We record where the information came from and use only what is needed to respond. Please share information with the person's knowledge where possible. Before support begins, we involve the person receiving it as fully as possible and clarify consent, contact preferences and who information may be shared with.
Who we may share information with
We do not sell personal information. We share it only where necessary and lawful, for example with authorised people involved in providing an agreed service; website, email or other technology providers acting for us; professional advisers and insurers; emergency services or safeguarding bodies; or another person where you have asked us to do so.
The website is hosted for GT Family Care and Formspree processes website enquiries on our behalf. Email and other technology providers may also process information needed to deliver and secure those services. If a provider handles information outside the UK, we will check that an appropriate UK data-transfer safeguard applies and describe material transfers in the final launch notice.
How long we keep information
- Initial enquiries that do not become a service: the proposed launch period is six months after the last meaningful contact, unless a complaint, safeguarding concern or legal need requires longer. This period is awaiting owner approval.
- Formspree submission history: the selected free plan currently keeps submission history for 30 days. Email copies and GT Family Care’s own enquiry record follow the retention period above.
- Client agreement and service records: the current records schedule provides for the service period plus six years, subject to the final insurer and legal check.
- Complaints, safeguarding and legal records: kept according to the risk, legal need and applicable records schedule; nothing is destroyed while a live action, claim or inquiry requires it.
- Technical logs: kept for the limited security and operational period set by the confirmed hosting provider.
Your rights
Depending on the circumstances, you may have rights to ask for access to your information, correction, deletion, restriction, transfer, or to object to its use. You may also withdraw consent where consent is the basis being used. Some rights have legal limits.
Your right to object: where we rely on legitimate interests, you may object to that use. We will stop unless we can show compelling legitimate grounds to continue or need the information for legal claims.
Contact us using the details above. We may need to verify your identity proportionately. We will respond without undue delay and normally within one month.
Is the information required?
You are not legally required to make an enquiry. However, without enough contact, location and general support information, we may be unable to respond or consider whether the service is suitable.
Automated decisions
We do not use automated decision-making or profiling.
Complaints about data protection
Please contact GT Family Care first so we can try to resolve the issue. You can also complain to the UK Information Commissioner's Office through its official complaints service.
Changes to this notice
